
Upper School Dean of Student Life Assistant

- Take responsibility in ensuring a well-run office by providing administrative support to the Dean of Student Life, providing routine and accurate information for all faculty and students, maintaining detailed records including financial reports, trip details, ticketing and passport information. Responsibility extends to master calendaring of Activities events in the US.
- Assist Dean of Student Life to maintain and to monitor department expenditures to ensure budget integrity. Make recommendations regarding expenditures. Record payment requests, generate reports and review spending to ensure expenditures in compliance with yearly budget.
- Assist in oversight and management of all US Activities/Clubs/StuGov, assist to make plans for ISASAS Culture Conventions and ISAS MUN, Education Initiatives, Class Advisory Programs, Class Deans activities and facilitate and process all aspects of school event/activity/student travel including but not limited to;
- Liaise with internal departments and external agents regarding travel arrangement and event organization/set-up
- Assist with gathering and processing the accommodations and transportation for travel requirement and documentations on island/overseas
- Communicate travel/event information clearly to all stake holders and participants including parents, students, teachers and Dean of Student Life.
- Prepare schedule sheets, timetables and cost analysis for each event and activity
- identify vendors and communicate with outside vendors and members of the TAS community to prepare for major purchases
- Serve on the search team during school declared emergencies, e.g. fire drill, to ensure safety of all in school.
- Provides other assistance as required by the Dean of Student Life. In many cases, this assistance is required outside of office hours, particularly in regard to trip issues.
- College graduate
- Minimum of two years successful secretarial and accounting related preferred, prior knowledge or experience within the travel industry and event planning both helpful
- Proficient in oral and written English and Chinese. Able to communicate confidently in front of groups
- Basic Accounting concepts
- Computer skill in MS Office
- Effective organization skill with attention to detail
- Interpersonal and communication skill
- Knowledge of software and hardware on office equipment (printers, scanner, copier), and ability to solve the problems
- Willingness to learn new software programs, in particular those involving display creation (posters, pamphlets)
